The Situation

  • Ricoh Europe acquired the ADA-Das IT services organisation based in Germany
  • Following the acquisition all IT services & solutions were to be integrated into the Ricoh Group

The Task

  • Integrate front-end IT services & solutions into the Ricoh Germany organisations incl. deliver system updates where required
  • Migrate the main back-end SAP system (5 environments, 55 servers) from Germany to the Ricoh Europe group centralised data centres based in the UK incl. system updates where required

The Action / Approach

  • Established programme, project & delivery structures & governance
  • Worked closely with ADA-Das & Ricoh Germany teams to scope, prioritise, plan & migrate ADA-Das front-end IT services & solutions into Ricoh Germany IT services & solutions
  • Worked closely with ADA-Das & Ricoh Europe teams along with UK data centre service providers (TATA, Infosys) to scope, prioritise, plan, communicate & migrate the SAP systems from Germany to UK data centres with system updates
  • Managed design, procurement & setup of infrastructure solutions in UK data centres to host migrated systems, solutions & data; generated business cases & solution options/costs
  • Worked with ADA-Das IT team to decommission previous unneeded infrastructure

The Result

  • All front-end IT systems & solutions, along with system updates, were migrated & integrated to the national Ricoh Germany organisation
  • The migration to newer, improved IT services & solutions combined with upgraded business processes led to increases in IT service delivery of up to 25% across various IT functions
  • The back-end SAP systems were migrated to the Ricoh Europe UK data centres; these were the first SAP systems to be hosted & managed by Ricoh Europe
  • The reduction of physical servers with newer, more powerful virtualised servers combined with the removal of current server environment & support services led to cost savings of £0.85m
  • Integrated a largely informal ADA-Das into formal Ricoh IT Support, Managed services & Change processes
