Situation
Delivery was aligned by geographic region, and the regional programme offices were each tasked with reporting progress against targets on a monthly basis to a central programme office (PMO), which then communicated the full picture to the Executive to facilitate decision-making.

Task
My task was to develop an efficient and effective process to enable tracking and reporting of financial progress against that business case, which could be adopted by each of the project managers responsible for delivering the outcomes in each country, and also provide the monthly reporting required by the central programme office.

Action
Defined, designed and successfully introduced end-to-end project financial management processes, from business case development through to benefits tracking.

Trained and supported country-based project managers to provide accurate cost and benefit forecasting to project completion, promoting increased ownership and enhanced stakeholder communications via facilitated regular review sessions.

Semi-automated the financial data transfer process between Oracle HPP and PlanView PPM, to achieve accurate cost categorisation and a significant reduction in manual resource overheads during month end.

Results
Approximately 3 days of manual effort was saved each month, which could be re-directed towards tasks providing greater value to the programme.

There was also a significant reduction in time spent resolving queries about the data each month.

Implementing the process for the Western Europe regional programme office acted as a successful pilot to encourage the other regional programme teams to adopt the approach.

When there was a subsequent decision to re-baseline the overall programme business case due to significant exchange rate fluctuations over time, this approach became invaluable - enabling all regions to re-work their financials quickly and accurately.
